When Microsoft 365 Copilot may be the strongest fit
Microsoft describes Microsoft 365 Copilot as an orchestration engine combining large language models, Microsoft Graph content, and Microsoft 365 applications. It can use email, chats, documents, calendar information, meetings, and contacts that the individual user has permission to access.[1]
That permission model is central to the decision. Microsoft says Copilot only surfaces organizational data the user is authorized to view. The company also warns organizations to configure permissions correctly, including SharePoint and Teams access.[1]
Consider Microsoft 365 Copilot when:
- the target workflow lives mainly in Word, Excel, PowerPoint, Outlook, or Teams;
- Microsoft 365 permissions and information governance are already maintained;
- users need work-grounded assistance inside that environment;
- the organization is prepared to review existing permissions before rollout.
Copilot does not fix over-broad permissions. If users can already access information they should not see, AI can make that existing governance problem more visible.
When ChatGPT Business may be the strongest fit
OpenAI describes ChatGPT Business as a secure workspace for teams, with chat, coding, analysis, workflows, business-application connections, company context, centralized administration, SAML SSO, MFA, and usage controls.[2]
OpenAI states that business data is not used to train its models by default and publishes encryption and compliance information for its business offerings.[4]
Consider ChatGPT Business when:
- the business needs a general-purpose AI workspace across several kinds of knowledge work;
- relevant information sits across supported external applications;
- the team needs shared administration rather than unmanaged personal accounts;
- the intended workflows extend beyond one productivity suite.
The organization should still inspect each connector, permission, retention setting, and workflow. A vendor's no-training commitment does not replace the business's privacy or security responsibilities.
When Claude Team may be the strongest fit
Anthropic's official Team documentation describes a workspace requiring at least two members and supporting up to 150 seats. It includes Claude's work capabilities, Microsoft 365 features, enterprise search, central billing and administration, SSO, and controls for remote and local connectors.[3]
Anthropic states that inputs and outputs from commercial products, including Claude for Work, are not used for model training by default. It notes exceptions when a user explicitly submits feedback or otherwise allows data use.[5]
Consider Claude Team when:
- the team has validated Claude on its priority work;
- organization search and managed connectors fit the information environment;
- the seat requirement works for the company;
- the business wants central controls rather than employees using personal plans.
The decision should start with a workflow test
Use the same controlled task with each shortlisted product. Provide the same approved source material, instructions, and review standard. Then compare:
- output accuracy and usefulness;
- source support and traceability;
- handling of the required file types and context;
- integration effort;
- permission behaviour;
- administrative control;
- user experience;
- total subscription and implementation cost;
- correction and review burden.
Do not test with sensitive information until the product, plan, account, terms, settings, and use case have been approved.

- Which exact workflow are we improving?
- Where does its source information live?
- Does the AI respect the access model we require?
- What data is permitted or prohibited?
- What does the vendor use for model training by default?
- What are the retention, connector, and administrative controls?
- What minimum seat count or prerequisite subscription applies?
- Who will manage users, permissions, and incidents?
- How will the team be trained on the specific workflow?
- Which business measure will justify keeping the subscription?

Is Microsoft 365 Copilot automatically best if we use Outlook and Excel?
No. Existing Microsoft 365 use makes Copilot relevant, but the business should still test the actual workflow, inspect permissions, confirm licensing, and compare the output and adoption burden.
Which product is safest?
Safety depends on the product and plan, configuration, identity controls, permissions, connectors, legal terms, data used, and workflow. Each vendor publishes business-data commitments, but the organization remains responsible for its own use.
Can staff choose whichever AI they prefer?
